Built and maintained in Dufferin County by Josh MacEwen, Munidigm helps planners, engineers, lawyers, and developers monitor council and planning items across Caledon + Dufferin without piecing together updates across portals, agendas, and notice emails.

1. How is this different from municipal subscription or notice emails?
Municipal emails and notices can be useful, but they are usually municipality-specific and process-specific. Munidigm adds a watchlist layer, so you can track specific addresses, file numbers, and keywords across multiple municipalities, and get alerts when relevant agenda items, reports, or attachments are posted or updated.
2. Does this replace municipal planning notices?
No. Municipalities may send statutory or file-specific notices to applicants, commenters, nearby owners, or people who request notice. Munidigm is a monitoring and workflow tool that helps you track relevant agenda items, reports, attachments, and updates across covered municipalities in one place.
3. What can I track with the watchlist?
You can track addresses, file numbers, keywords, committee names, project terms, and other phrases relevant to your files or clients.
4. What will I get alerts for?
Alerts cover relevant agenda items, reports, attachments, and addenda when they are posted or updated, with source links back to the municipal record.
5. Does it detect changes after something is first posted?
Yes. Munidigm can flag new attachments, revised reports, addenda, and other changes after the initial posting.
6. How fast are alerts?
Alerts are sent on a polling schedule that varies by source and timing. For active coverage, updates are typically surfaced the same day and often much sooner.
7. Do you guarantee every municipal posting will be captured instantly?
Munidigm is designed to make monitoring faster and more consistent than manual checking, but municipal source systems can change, repost, or delay materials without notice. For critical deadlines or filings, clients should confirm against the official source record.
8. Can I choose instant alerts or digest?
Yes. You can receive alerts individually as they happen or switch to a daily digest, depending on how you prefer to review updates.
9. Is Munidigm affiliated with any municipality?
No. Munidigm uses publicly available municipal records and is not affiliated with any municipality.
10. Will the searchable cross-municipal agenda and report archive be an additional fee?
No. You will be able to search and access a minimum of 12 months of archived agendas and reports for the municipalities covered in your package at no additional charge.
Important notice
Munidigm relies on publicly posted municipal agendas, reports, attachments, minutes, and related public materials. Because municipalities may revise, replace, delay, remove, or reformat those materials without notice, Munidigm should be used as a monitoring and workflow support tool rather than the sole basis for legal filings, statutory deadlines, or other professional determinations.

The service is built around monitoring publicly available municipal source materials and does not require clients to provide sensitive project files or privileged legal materials for core use. If you become a customer, we may also collect or generate account-related information such as:

  • customer slug or account identifier

  • user or customer display name

  • access credentials, tokenized links, or related authentication data used to provide portal access

  • portal preferences, saved search settings, alert delivery settings, and related service configuration

  • billing records, invoices, payment status records, and customer administration notes

For the search portal specifically, Munidigm may use browser storage technologies such as local storage and session storage to support portal analytics, session continuity, and user experience features. These may store items such as anonymous visitor identifiers, session identifiers, and certain temporary interface state.

We may also collect basic website usage information such as IP address, browser type, device type, pages visited, referring pages, and general analytics and website interaction data.

We may also redact or suppress certain sensitive access parameters in logs where reasonably feasible, such as token-like URL parameters, but no logging or transmission system is perfect.

4. Public Source Materials

Munidigm’s core services are designed to monitor publicly available municipal source materials, such as agendas, reports, attachments, minutes, notices, and related public records.Our collection and handling of personal information from users, leads, and customers is separate from the public records content that Munidigm may index, search, monitor, organize, summarize, or surface.Because public municipal source systems are maintained by third parties, those materials may be revised, removed, delayed, reposted, reformatted, or replaced without notice.

5. How We Share Information

We do not sell personal information.We may share personal information with third-party service providers who help us operate our business, website, and services. These may include providers for:

  • website hosting and publishing,

  • domain and DNS services,

  • forms and lead capture,

  • meeting and scheduling tools,

  • email delivery and communications,

  • billing and invoicing,

  • customer administration,

  • cloud productivity, storage, and workflow tools,

  • saved searches,

  • watchlist monitoring based on keywords, file numbers, addresses, committee names, project names, or similar terms,

  • source links, detail views, and related workflow tools.

Munidigm is designed to improve visibility into selected public municipal materials and related updates. It is not an official government source, not a municipal records office, and not a replacement for checking the official source when accuracy, timing, or completeness matters.

2. Information and Workflow Support Only

The website, portals, and related services are provided for general informational, research, organizational, and workflow support purposes only.Nothing on Munidigm constitutes legal, planning, engineering, development, procurement, compliance, tax, investment, or other professional advice. Official municipal websites, clerks, planning departments, and other official sources remain the controlling source for legal notices, statutory deadlines, filings, public meeting materials, and final decisions.If something matters for a hearing, submission, appeal, tender, filing, limitation period, statutory timeline, or other consequential step, verify it against the official source.

4. Service availability and source limitations

Munidigm is intended to improve visibility into selected public municipal materials and updates. However, because the website and related services depend in part on third-party public source systems outside our control, we do not guarantee:

  • uninterrupted access to the website, portal, or any feature

  • perfect or complete capture of every document, posting, revision, attachment, or update

  • that all indexed or displayed information will always be current, complete, correctly labeled, or error-free

  • that every search query will return every relevant result

  • that every watchlist term will produce every relevant match

  • that every alert or digest will be sent immediately, correctly, or at all

  • that source links will always remain live or unchanged

  • that every municipality, meeting type, document type, or time period will always be covered

Coverage may vary by municipality, source platform, meeting type, file type, publication format, subscription level, development status, or technical limitations. Users should confirm critical deadlines, filings, and formal decisions against the applicable official source record.

5. Public Search Portal and Customer Portal

Munidigm may offer both a public search portal and a customer portal.

The public search portal may provide limited public-facing search and viewing functionality. The customer portal may provide additional or different features, which may include saved searches, watchlist functions, delivery preferences, expanded detail views, account-linked access, or related monitoring tools.

You understand and agree that:

  • public portal access may be more limited than customer access

  • some features may only be available to paying customers or authorized users

  • search history windows, result depth, and available filters may vary

  • we may add, remove, suspend, or modify features at any time

  • public and customer portal output may depend on third-party public sources and our indexing or publishing processes

6. Watchlists, Saved Searches, Alerts, and Digests

If Munidigm allows you to create watchlists, configure saved searches, enter monitoring terms, or receive alerts or digests, those features are provided as workflow support tools only.

Watchlists, saved searches, and alerts may be based on terms such as:

  • addresses

  • file numbers

  • keywords

  • project names

  • committee names

  • phrases or other search expressions

  • filters or scoping choices selected by the user

You are responsible for the terms, filters, and criteria you choose to use.

Munidigm does not guarantee that:

  • every relevant item will be matched

  • every alert-worthy change will be detected

  • results will always be deduplicated perfectly

  • email delivery will be uninterrupted

  • alerts or digests will not be delayed by polling intervals, source delays, infrastructure issues, spam filtering, email provider issues, or technical errors

Watchlists, saved searches, alerts, and digests are tools to support monitoring. They are not substitutes for direct review of official records where consequences are material.

7. Accounts, Access Links, Tokens, and Credentials

Certain portions of the portal or monitoring features may require authentication, customer-specific access, tokenized links, handoff links, or similar credentials.

If you receive any private or customer-specific access method, you agree to:

  • keep it confidential

  • use it only for authorized purposes

  • not share it with unauthorized persons

  • not attempt to bypass or defeat access controls

  • not access another person’s or customer’s data, features, or records without authorization

You are responsible for activity that occurs through your credentials or access links to the extent caused by your acts, omissions, or failure to protect them.

We may suspend, revoke, expire, rotate, invalidate, or restrict credentials, tokens, or access methods at any time where reasonably necessary for security, misuse prevention, customer administration, account status, technical operation, or enforcement of these Terms.

8. Acceptable Use

You agree not to use the website or services to:

  • violate any law, regulation, or court order

  • infringe the rights of Munidigm or any third party

  • interfere with, disrupt, damage, disable, overburden, or impair the website, portal, or related systems

  • attempt unauthorized access to any account, sheet, script, storage location, configuration, token, dataset, function, or related infrastructure

  • probe, scan, or test vulnerabilities without authorization

  • use bots, scripts, scraping tools, bulk extraction tools, or automation in a way that materially burdens the service or circumvents intended limits

  • reproduce, republish, redistribute, or commercially exploit substantial portions of the service except as permitted by law or by our written permission

  • frame, mirror, or misrepresent Munidigm content in a misleading or deceptive way

  • upload, submit, or transmit malicious code, abusive queries, or harmful content

  • use the service to build a directly competing commercial database or service by extracting substantial parts of the content, structure, or output

  • impersonate any person or organization

  • use the service in a way that is fraudulent, abusive, defamatory, harassing, or unlawful

We may suspend or restrict access if we believe, acting reasonably, that your use violates these Terms or threatens the service, other users, or our systems.

9. User Inputs and Search Terms

You are responsible for what you type into search boxes, saved searches, watchlists, filters, forms, and other user-input fields.

You should not enter material into public-facing fields that is unlawful, malicious, misleading, defamatory, or that you are not entitled to use.

Unless a feature clearly requires it, you should also avoid entering highly sensitive personal information, privileged legal material, or confidential information into general search or form fields. Humans do love treating every text box like a vault. Text boxes are not vaults.

10. Email and Communications

If you provide an email address, create an account, or use alert-related features, Munidigm may send you service-related communications, including:

  • access emails

  • account notices

  • support communications

  • watchlist alerts

  • digests

  • service updates

  • operational or security notices

Some communications are necessary for service operation and are not marketing communications.

Munidigm does not guarantee email delivery, inbox placement, formatting consistency across email clients, or uninterrupted delivery through third-party email systems.

11. Third-Party Services and Infrastructure

Munidigm may use or rely on third-party services, infrastructure, and platforms to operate the website and services, including services related to hosting, DNS, analytics, forms, scheduling, email, cloud storage, automation, or internal workflows.

Without limitation, the service may rely in whole or in part on tools or infrastructure such as:

  • Google Apps Script

  • Google Sheets

  • Google Drive

  • Google Mail or related Google Workspace services

  • Zoho Mail

  • MailerLite

  • Google Analytics

  • website hosting or publishing platforms

  • domain or DNS providers

  • form, booking, or email communication tools

We are not responsible for the availability, outages, policy changes, data handling, performance, or security practices of third-party providers. Your use of third-party-linked services is at your own risk and subject to their own terms and policies.

12. Analytics, Logging, and Service Protection

Munidigm may log technical and usage information relating to use of the website, portals, search tools, watchlists, and related features for purposes such as:

  • operating the service

  • debugging and troubleshooting

  • security monitoring

  • abuse detection and prevention

  • feature improvement

  • analytics and product evaluation

  • account administration and auditability

This may include information such as page views, portal interactions, search activity, filter usage, detail views, timestamps, browser or session data, referring information, campaign parameters, and related event data.

Your use of the service is also subject to our Privacy Policy.

13. Intellectual Property

Unless otherwise stated, Munidigm owns or licenses the website and portal design, branding, logo, layout, code, text, graphics, labels, compilations, interface design, and related proprietary materials made available through the service.

  • portal layouts

  • filters and search behavior

  • watchlist features

  • saved search features

We may also perform maintenance, deploy updates, fix bugs, modify data structures, rotate credentials, or take security measures that temporarily affect service availability.

15. Fees and Paid Features

Some Munidigm features may be free, while others may require payment, subscription, pilot enrollment, or a separate commercial arrangement.

If you purchase a paid feature or subscription from Munidigm, additional terms may apply through a quote, order form, invoice, subscription arrangement, or separate service agreement.

Unless otherwise expressly stated in writing, website access and free public portal access do not create any obligation on Munidigm to provide ongoing paid-level access, indefinite archive depth, or premium features.

16. Disclaimer of Warranties

To the fullest extent permitted by law, the website and services are provided on an "as is" and "as available" basis.
